Questions

What's the difference between a lead and a job?

A lead is a prospect you're chasing. It lives in Pipeline. A job is work you already have: it has a customer and a drawing. A job's first stage reads "New" rather than "Lead" so the two never get confused.

Why won't this job let me schedule it?

Almost always the deposit, or a hold. A job that hasn't collected its deposit stops when you try to schedule it and asks whether to collect first or waive it. Collect from the job's Money tab, or waive it deliberately if this one is an exception. A job on hold also cannot be scheduled until you resume it.

Where did permits, checklists, and the punch list go?

Into the job. They belong to a specific job rather than to a filing cabinet, so you'll find them on the job page: documents in Paperwork, and the punch list on Punch. Open punch items that need you also show up on Today.

What is the next move on a job?

The single thing to do next, derived from the job's real state — whether it has a drawing, whether it's priced, whether it's signed, whether money has arrived, whether the crew is booked. It updates itself, so it can't go stale like a checklist would.

Do I have to write a change order?

If you want to be paid for the extra work, yes. An approved change order adjusts the contract total automatically; work done without one is work you did for free. Write it before the work, not after — the conversation is much easier then.

The change order's rate column — is that cost or price?

Price. The per-unit figure is what the customer is charged, despite the field's legacy name. Enter your sell rate. Cost is tracked separately, which is how the change order still shows you its margin.

What can my installers see?

Only their assigned jobs, on Today and My Visits. They capture photos, write daily logs, add punch items and clock time. They never see customers' money or the office pages. Field crew don't use a seat, so there's no cost to giving it to everyone. Inviting crew needs the Team plan.

Where did Dispatch go?

It is the Schedule lens on Jobs. Open Jobs and choose Schedule. It has Day, Week, Month, Gantt and Map. Old links to Dispatch open the same place.

What do the five tiles on Jobs mean?

Ready to schedule: sold and waiting for a date. Needs crew: has a day but nobody on it. Running late: past its day or finish. Stuck: waiting too long in Measured or Ready to order. On hold: paused on purpose. Tap a tile to see exactly those jobs.

What does putting a job on hold do?

The job keeps its stage, dates and crew, but it leaves the stuck, late and needs-crew counts and cannot be scheduled or started. You give a reason and, if you know it, when it should be back. Tap Resume when it is ready.

Why does the app ask why I moved a date?

When a job's finish moves into a later month, or you hold or cancel a job, the app asks for a reason: Material delay, Customer, Weather, Crew, Permit and so on. The reasons feed the Weekly review so you can see what keeps pushing your work out.

Does the customer get a message when I schedule or move a job?

Only if you let it. The schedule sheet shows the message word for word with a switch before anything is sent. No message goes out unseen. During the free trial the customer is told by email, because texting starts on a paid plan.

How do I write a daily log?

Open the job and tap Log a day. Add the day, hours, what got done and photos, then Send to the office. Switch on Needs office if something went wrong. You can add to a log until the office reads it.
