No. Field access never consumes a seat, so every installer and sub can have the app for free. Seats are for Office access — the people who work in the CRM.
Yes. Seeing payroll is its own permission. Someone with Manage crew can assign people to jobs and approve time without it. Open the person's page in People to set See payroll.
It depends on their tax classification from their W-9. Individuals, sole proprietors, partnerships, and LLCs generally get one; corporations are exempt. A payee with no W-9 on file is treated as needing one, deliberately, so nobody falls off the list.
That a contractor looks like an employee to the IRS. It weighs being paid hourly, working full-time hours on your schedule, having no business entity, carrying no liability insurance, and long continuous tenure. A high score means hard to defend — and the liability is yours, not theirs.
The I-9 needs an employer section completed after the worker signs theirs. It stays incomplete until you've done your half — that's the form working as intended, not a bug.
If it was not sent, delete the draft. The hours stay approved. If it was sent, void it where the run allows it, and the hours return to approved so you can correct them and run again. A run already handed to Gusto is corrected in Gusto.
Because job-linked time gives you accurate labor costing. Without the link, labor is a lump sum and you can never tell which jobs actually made money.
Open People and choose Invite, pick Field or Office, and send it by email or share the link. Crew invites need the Team plan, and Office uses a seat while Field does not. Markets and jobs are assigned from the person's page afterward. Pending invites stay visible until accepted or revoked.
A Field person or an outside viewer sees only what is shared with them: the drawings and jobs they are assigned. They can view layouts, photos and documents but cannot edit drawings, change drawing data or open team management. They do not use a seat.
Yes. Collaborators can upload photos and videos to a dedicated Collaborator Photos section within assigned drawings. They can use the in-app camera, import from their photo library, or upload files. Uploads are tagged with the collaborator's name and stored separately from the main drawing gallery.
Yes. Collaborators can add markup annotations to both their own uploaded photos and main drawing photos. Markup syncs in real time, so the team sees annotations as they are drawn. Each markup item shows who created it.
Collaborators receive an invite link via email or direct message. Tapping the link opens the app (or the App Store if not installed). After signing in, the invite is automatically accepted and assigned drawings appear on their home screen immediately.
Yes. A collaborator can accept invites from multiple teams. Their home screen groups drawings by team and market, making it easy to navigate across different teams. Each team's drawings are independent.
Open People, find the person and choose Remove Team Access. Removal is immediate. Their uploaded photos and markup stay in the drawings.
Everyone stays on the team but paid features lock until the plan is renewed. No data is deleted, and access returns when the plan does.
Open Settings, You, Privacy & account and choose Leave team. If you are the owner, make someone else the owner first in Settings, Team, Members & access. Your personal drawings stay on your device.
A market is an organizational grouping within your team. Admins can create markets to separate drawings by region, division, or any other category. Team members can be assigned to specific markets to control which drawings they see. The label (Market, Region, Division) is customizable.
The Team plan includes 3 office seats. Add or drop more at any time on the web dashboard → Billing. Field crew never consume a seat, so you can add as many as you need for free, and the Scale plan includes unlimited office seats.
Yes. Team members can create and manage their own local drawings independently from team-shared drawings. Personal drawings are stored locally on the member's device and are not visible to the team admin or other members.
Yes. An admin opens the person in People and changes their access between Field, Office and Admin. Office can include money and team access or not. Every change is recorded in the Activity log. The owner cannot be demoted, but can make someone else the owner.
In the app a manager is an Office person with money and team access. They can manage people and permissions for others but cannot change the owner's billing or make other owners. The screens call this Office, and the owner or an admin can change it.
Open the person in People and change their access. Switches cover See money, Write proposals, See payroll, Manage crew, Manage customers, Manage settings and Clock my crew, plus drawing permissions. You can copy one person's access to others.
Yes. Under Settings, Team, Field tools, an owner or manager can turn off tools such as AR Measure, the Level, the Elevation Scanner, the camera, photo markup, the command bar, the Review dashboard, sharing and live editing, and AI for the team. A tool that is off is hidden, not grayed. The admin keeps everything.
Open Settings, Team, Knowledge base brands (owner, admin or manager on a team) and choose which manufacturers your team sees in the Knowledge Base. All are visible by default.
Yes. Settings, Team, Activity log lists who changed access, markets, tools and catalogs, and when. Entries cannot be edited or deleted.
You see a notification banner at the top of the screen describing what changed. The banner appears automatically and dismisses after a few seconds, or you can tap it to dismiss immediately. Your available features update in real time.
If you are the admin and delete your account, contact support first. Team data including shared drawings, documents, and member assignments is tied to the admin account. Members retain their local drawings but lose access to cloud-synced team data.
Each market shows a colored icon indicating its health. Green bolt = Active (recent activity, members assigned). Blue checkmark = Healthy (good completion rate). Orange warning = Attention (no members, low completion, or going stale). Red clock = Stale (no activity in 14+ days). Gray dashed circle = Empty (no drawings yet). Health is calculated automatically from drawing activity, completion rates, and member assignments.
A market shows as Stale (red clock icon) when no drawing in that market has been modified in 14 or more days. To resolve this, upload new drawings, edit existing ones, or mark drawings as complete. If the market is no longer needed, consider removing it from your team.
Presence avatars appear in the drawing header when other team members have the same drawing open. Each avatar shows who is currently viewing or editing the drawing. Use this to coordinate editing — if someone else is active on a layout, work on a different one to avoid conflicts.
When a team member is actively editing a layout, the app places a temporary edit lock on that layout. Other team members see a lock indicator and the editor's name. The lock expires after 10 seconds of inactivity so it never permanently blocks access. This prevents two people from overwriting each other's changes on the same layout.
Each team member works on their own layout independently thanks to per-layout edit locks. If a sync conflict occurs (for example, two offline edits to the same layout), the app presents a Sync Conflict dialog where you choose to keep the local version or the cloud version. The conflict resolution is always explicit — the app never silently overwrites your work.
Team stickers are custom images your admin uploads to a shared sticker catalog. They appear in the Photo Markup sticker picker alongside built-in symbols. Use them for company logos, approval stamps, damage markers, or any visual annotation your team needs consistently. Up to 100 stickers per team.
An owner or admin opens Settings, Team, Content catalogs and adds a sticker from Photos or Files. It is resized to at most 200 by 200 px and syncs to the whole team.
Yes. The web dashboard has People, markets, billing, drawings, the schedule, money and settings, and you sign in with the same account as the app. Pages follow the person's role, and money and payroll pages follow their permissions.
Yes. The Drawing Map displays all team drawings as pins on an interactive map, geocoded from their addresses. Market boundaries appear as colored overlays. You can select multiple pins to plan an optimized driving route between sites. Available on both iOS and the web dashboard.
Yes. Over 50 workspace preferences — grid colors, label styles, toolbar order, report settings, and more — sync automatically via Firestore. When you sign in on a new device, your preferences load automatically. The cloud version wins if it is newer than the local version.
Yes. Collaborators can upload videos up to 60 seconds long to the Collaborator Photos section of assigned drawings. Videos are stored as .mov files in Firebase Storage. The team can view and download them from the drawing gallery.
Yes, for owners and admins who have payroll on. Timesheets and Week review, Pay runs, Commissions and My pay are on the web as well as the app, and a run can be handed to Gusto from either.
Jobs › Schedule scales Day · Week · Month · Gantt · Map. The Gantt shows every job as a bar across its days — drag it to move the job, drag its end to resize it, and the Confirm step shows the checks and the customer's text before anything changes. Open a job to see its plan of phases and milestones; moving a phase moves what waits on it. Five chained templates (Residential Remodel, New Construction, Roofing, Windows & Siding, Bathroom Remodel) start a plan in one press.
Yes, in the app and on the web, depending on your role and money access. See Estimates and Invoices.
The Accounts Receivable Aging Report in the Payments section breaks outstanding invoices into aging buckets: Current, 1-30 days, 31-60 days, 61-90 days, and 90+ days past due. It helps you identify overdue balances and prioritize collections. Only invoices with remaining balances are included.
Admins and Office people with the right permissions see the whole business. Field people see their jobs, drawings, My pay and My visits. Money and payroll pages need the See money and See payroll permissions. Search only shows what your role can open.
