People is the one list of everyone who works with you. A person has two separate answers: what they can open in the app, and how they get paid. Neither one decides the other.
One person, one record
An office manager has access and pay. A sub may be paid and have no app at all. A business partner may have full access and no payroll record. A subcontractor is a person too, with the 1099 Contractor pay type, not a separate list.
Add someone from People with Add Person. The same record holds their contact details, trade, rate, paperwork and app access.
- Access: Field, Office or Admin.
- Pay: W-2 Employee or 1099 Contractor.
- Someone can have either, both or neither.
Access levels
Field is the crew. A Field person sees a job-centric home with their assigned jobs, captures photos and time, and never opens the CRM. Office runs the business day to day and uses the CRM. Admin adds settings, billing and ownership.
Field people never use a seat. Office and Admin do. Seeing money is a separate permission on top. Someone can run jobs without seeing a margin. See Who sees what.
Pro tip: Give every installer Field access. It costs nothing and puts the plan in their hands on site.
Roles on the calendar
A person's role decides which lane their work shows in on the schedule: sales rep, measure tech, installer or service tech. A role has one color everywhere it appears.
Put people on jobs
Assign crew from the job itself. Their assigned-jobs home updates at once, and there is one source of truth for who is on what, so the schedule, the field home and the job agree. Hours clocked against a job they are on land in that job's costs.
